The situation
The challenge
PROCERGS ran BPM and content management on Documentum, but the cost of maintaining it — version updates, technical support — became a limit on how much the company could rely on it. With more than 600 systems to manage, PROCERGS needed a platform that could handle that scale without the same maintenance burden. The implementation also had to happen fast, and the technology team had no prior experience with Bonita.
What changed
PROCERGS moved to Bonita Enterprise, integrating it with Alfresco for content management and with SOE, its authentication system since 2013, to keep access secure. Solutions like permit approvals, award grants, and request tracking now run entirely on Bonita — from a citizen's first click on a web form through document digitization, digital signatures, and final status emails.
How it came together
The project started with in-person training in Porto Alegre, led by Konsultex and Bonitasoft consultants, covering the implementation team along with server, network, and database support staff. PROCERGS built two example modules — one for Alfresco, one for Bonita — into its existing Java/.NET framework, so new solutions could adopt ECM and BPM functionality quickly, using the same look and feel as other corporate systems. Bonita is now integrated with PROA, the state's core administrative-processes solution, and reaches processes like vacation requests end-to-end: request, approval check, payment system handoff, and calendar recording.
