The situation
The Challenge
Universcience — which includes the Palais de la Découverte and the Cité des Sciences et de l'Industrie — promotes awareness and appreciation of science and scientific culture. It is a public industrial and commercial establishment under the Ministry of Higher Education, Research, and Innovation, in constant adaptation to contemporary developments.
Universcience had more than 300 forms scattered across various functions including HR and purchasing. All manual. The digital transformation project was initiated at the end of 2015 by general management — with a clear objective: launch 10 paperless processes per year.
What Changed
Ofelia was chosen for two reasons: the ease of setting up processes, and the ability to follow up on all actions with full traceability. A proof of concept validated the approach. Then a user-friendly portal was built and delivered in just 2 months — with 4 paperless requests covering HR and security as a first version. Other workflows have been developed since.
How it came together
Mapping
The first step was to analyse and map all existing processes — identifying where paper was creating friction across the organisation.
Proof of concept
A proof of concept was run to validate the approach and demonstrate the value of traceability and compliance with procedures.
Delivery
A user-friendly portal was built and delivered in 2 months. 4 paperless requests went live first — covering HR and security. More workflows followed.
